Data Administrator

Job title: Data Administrator
Location: Worminghall, HP18 9JX. Near Thame
Hours: 37.5 hours per week (09:00-17:00)
Holidays: 20 days holiday per annum (plus statutory bank holidays)

Job Overview

The Data Administrator role will be primarily working with address data to fulfil client mailings and fulfilment but also dealing with clients to ensure we maintain our high standards of customer care and client communication. 

You will be dealing with every department which requires excellent communication skills that can also be developed.

This role requires a highly motivated and technically competent individual with a flexible approach that can grow and develop with the business as opportunities present themselves. 

Training and support will be provided where required. 

General Overview of Tasks:

  • Monitor the primary workflow mailbox
  • Direct and Process emails into the appropriate internal departments
  • Communication with clients by phone or email (to confirm when jobs are scheduled or complete)
  • Processing Data Bureau Jobs –
    • Receiving data files via emails, FTPs
    • Receiving job instructions from clients
    • Checking, cleaning, de-duplicating, merging & sorting data
    • Converting various data formats
    • Designing and printing a high volume of address sheets or letters
  • Processing jobs and Creating Workflows and Coding using Cygnus, Planet Press Production,
  • Excel and Access
  • Understanding and follow set procedures
  • Continuous Process improvement

Planning, Scheduling & Workflow

  • Understand & Maintain Department Planning & Control processes
  • Data Bureau Mailbox
  • Data Bureau Control Sheet
  • Process Jobs through Cygnus software
  • DORIS (In-house job management software)

Printing

  • Understand the use and operation of printers to print carrier sheets, labels, letters and any other fulfilment documents

Software

Training will be provided with the expectation to become more proficient in the use of the following software:

  • Excel/Access
  • Cygnus (Being trained in Cygnus would be a distinct advantage)
  • DORIS (Bespoke in-house software)
  • Satori Bulk Mailer
  • Micron
  • Planet Press Production
  • Any additional software that is required as part of Data Bureau processes

Communication

  • External:
    • Learn and develop client communication skills
    • Represent the business in a professional manner at all times
  • Internal:
    • Understand how the Data Bureau interacts with other departments and develop and maintain efficient and effective working relationships

Known Consignor/SPX

  • Understand, learn and follow all Known Consignor/SPX processes
  • Successful completion of training and passing DFT level A-D training

Preferred Qualifications, Education Requirements and Skills

  • Minimum GCSE or equivalent-C in Maths & English, Ideally A/AS level and/or of Graduate Calibre
  • Study or demonstrable interest in IT generally and ideally knowledge and experience with data and databases
  • General IT literacy
  • Excellent understanding of Microsoft Excel and Word including VLOOKUP and Mail Merge
  • Knowledge of Planet Press and Cygnus would be an advantage but are not essential
  • Excellent analytical skills
  • Extensive knowledge of different data formats such as Tab delimited, CSV and Fixed Width
  • Ability to work under pressure and meet deadlines
  • Attention to detail and good organisation skills are essential
  • Able to work on own initiative

Production/Warehouse Operative

Job title: Production/Warehouse Operative

Job Overview

An exciting new opportunity within the UKP Production Team as a Production Operative, you will be responsible for operating mechanical handling equipment, assist in maximising machine output and maintaining the highest levels of mailing and parcel logistic quality. 

Working closely with the Asst. Production Manager and co-operators, you will be tasked with achieving daily production goals in terms of barcoded order picking and packing, machine loading and offloading whilst working with minimal supervision and to the highest standards, you will ensure all deadlines are met. 

To be considered for this position, you must have experience of working in a fast-paced processing environment; possess strong attention to detail with excellent IT and communication skills. A flexible, motivated approach to learning and change is also essential. 

Whilst not essential, experience of using any production machinery would be beneficial to your application. 

Safely and efficiently work with variety equipment involved in the preparation of mail, parcels and pallets, including such activities as weighing, order picking, packing and labelling various sized consignments, preparing for shipping, coupled with various additional warehouse duties.

Assistant Production Manager

Job title: Assistant Production Manager

Job Overview

Reporting to the Production Manager, you will be responsible for helping to achieve the company’s sales turnover, on-time delivery and profit targets by;

  1. Ensuring that jobs are produced correctly, cost effectively and delivered on time in accordance with customer specification and quality requirements.
    1. Communicating with all the relevant people/departments and coordinating all relevant inputs (people, equipment and processes) to ensure production output and on-time delivery targets are achieve
    2. Planning, scheduling and reviewing workload to ensure production output and on-time delivery targets are achieved cost-effectively.
    3. Ensuring that the shop floor has the necessary manpower, competence, skill, knowledge, equipment and tools required in order to achieve production targets.
  2.  Managing the Purchasing function to ensure consumables material is purchased cost-effectively and available for production when required.
  3.  Managing the Inventory function/stock control to ensure raw material and product is receipted, located, stored and transferred correctly and that the company’s stock inventory is accurate utilising the Stock Management system.

As part of the management team, you will also be jointly responsible for contributing towards the achievement of the company’s strategic and operational targets and overall business aims.

The job role may include other reasonable duties/tasks from time to time.

The role carries direct managerial responsibility for the production, distribution, purchasing & stock control personnel.

Training and support will be provided where required.

Tasks & Responsibilities

Production

  • Capacity Planning
    • Ensure the operation has sufficient time to produce and deliver on time according to the customer’s instructions
  •  Planning & Scheduling of Workload
    • Manage customer order/schedule requirements.
    • Pre-plan production and deploy a daily prioritised work schedule to the operational floor with appropriate time deadline targets.
    • Set, monitor & review workload schedule
  • Production Control
    • Monitor & review production progress against deadline targets to ensure accuracy and on time delivery.
    • Adjust the production schedule as required and communicate any change to delivery date with the Commercial dept accordingly.
    • Monitor & review production and distribution operations to ensure correct quality standards.
    • Ensure that all production related activity is time and cost efficient/effective.
    • Ensure all machines and equipment is maintained & repaired.
  • Quality Control
    • Ensure production/quality processes, equipment being used and the working environments are all conducive to producing a high-quality product/service
    • Monitor production activity to ensure that the appropriate methods are employed and that sufficient due care is taken in order to meet the customer’s quality specifications.
    • Ensure rejected product / non-conformance is rectified as high priority and that commercial dept is kept informed accordingly.
    • Ensure that any non-conformance ops instructions are raised and rectified with the Data dept.

Purchasing & Inventory Management

  • Purchasing
    • Managing the purchase of all materials and services for distribution/production.
  • Inventory Management
    • Organising, planning and coordinating all inventory management activities
    • Ensure that both goods inward and distribution departments are well organised and adequately resourced to sufficiently support production and the goals of the business.
    • Ensure incoming product is processed and managed appropriately according.
    • Ensure materials are ready and available for production as and when required.
    • Ensure that any materials that are late or holding up production for whatever reason are chased and followed up until received.
    • Ensuring that all production and inventory systems/processes run efficiently and effectively.

Human Resource

  • Staff Training & Development
    • Establish goals and objectives for self and team and implement accordingly to help support / improve job performance (experience, ability, competence).
    • Be aware of and promote best practice and performance standards.
    • Develop and monitor performance standards.
    • Identify individual training needs.
    • Implement, monitor and review training and development plans.
  • Performance Management & Annual Appraisals
    • Monitor, review and address personnel underperformance, maintaining appropriate records in accordance with company procedures.

  • Discipline & Grievance
    • Monitor, review and address personnel underperformance, liaising with the Production Manager and maintaining appropriate records in accordance with company procedures as required.
    • Address any staff discipline or grievance issue, maintaining appropriate records in accordance with company procedures.

Customer Service

  •  Maintain proactive, dynamic and effective communication with the Commercial dept at all time
  • Offer flexible and helpful solutions to maintain a high level of customer satisfaction and repeat business.

Security

  • Responsible for ensuring the company's SPX and Security policy is adhered to at all times.
  • Expected to understand, and perform all elements of SPX and GDE Parcels dispatches in line with DfT & MOU procedures, including all paperwork, physical inspections and security checks, recording and documenting dispatches.  
  • Expected to demonstrate an excellent understanding of all UKP security procedures for known cargo and GDE dispatches.  
  • Able to communicate these security processes to all staff at all levels.
  • Responsible for building keys and opening/closing premises as and when required.

Health & Safety

  • Promote & maintain awareness and compliance of H&S in accordance with best practice and legal requirement.

Operational Performance

  • Monitor and manage production KPI’s
    • Achieve the companies on-time delivery target.
    • Control all associated operational and production costs according to the prevailing annual budget forecast.

    • Ensure non value added activity is reduced in all production processes.
    • Manage change to meet current business requirements.
    • Implement improvement processes and systems to reduce inventory, increase throughput and minimise costs.
